Richco Loyalty Program – Terms & Conditions

Welcome to the Richco Harley-Davidson Loyalty Program (“the Program”). These Terms & Conditions govern your participation and outline how loyalty tiers, points, and rewards operate.
1. Participation
- By invitation only: You must receive an invitation from Richco to join the Program.
- Mandatory contact information: To activate your membership, you must provide your:
- Full name
- Residential address
- Email address
- Mobile phone number
Participation is subject to approval and may be revoked for non-compliance with these terms.
2. Loyalty Tiers
The Program consists of three tiers:
- Silver (entry level)
- Gold
- Platinum
Your tier determines how you earn and redeem loyalty points.
3. Tier Evaluation
- Upgrades: Transactions are reviewed daily to assess eligibility for tier upgrades based on current-year activity.
- Downgrades: Loyalty status is reviewed annually in January, based on qualifying activity from the previous calendar year.
4. Earning Loyalty Points
Points are awarded for qualifying purchases of eligible, non-discounted products and services.
4.1 Point Accrual Rates
- Silver & Gold: 1 point for every THB 10 spent
- Platinum: 1.5 points for every THB 10 spent
4.2 Eligible Purchases
Points can be earned on:
- Genuine Harley-Davidson parts
- Workshop labor
- Genuine Harley-Davidson apparel
- Harley-Davidson licensed products
- Selected other apparel products
Eligibility is void if any other discount or promotion applies.
4.3 Excluded Purchases
Points are not awarded for:
- Discounted items or items under another promotion
- Motorcycles
- Aftermarket parts and accessories
- Tires
- Items sold under trade pricing or special schemes
5. Redeeming Loyalty Points
5.1 Gold & Platinum Members
- Points can be redeemed like cash toward any Richco product or service.
- 1 point = 1 baht
- Redemption can be full or partial.
5.2 Silver Members
Silver members are eligible for fixed voucher exchanges:
- 2,000 points = THB 1,000 gift voucher
- 5,000 points = THB 5,000 gift voucher
Gift vouchers are subject to their own terms and may have expiry dates.
6. Tier Changes and Conditions
The Richco Loyalty Program uses clear and transparent rules to determine when a customer is upgraded or downgraded between loyalty tiers. These rules are based on your calendar year activity and membership history.
6.1 Tier Upgrades
Your loyalty tier may be upgraded at any time, based on your qualifying activity within the current calendar year. Eligibility is evaluated daily.
Silver or New Members (joined this calendar year)
You may be promoted from Silver to a higher tier based on any of the following:
- Gold Upgrade if:
- You spend THB 100,000 or more on eligible products and services during the current calendar year, OR
- You purchase a motorcycle, OR
- You have a valid HOG membership, meaning:
- hog_membership_number is provided AND
- hog_expiration_date is in the future
- Platinum Upgrade if:
- You spend THB 200,000 or more, OR
- You spend THB 100,000 or more AND purchase a motorcycle
Gold Members (as of January 1 of the current year)
You may be promoted to Platinum if any of the following are true, based on transactions after your Gold tier start date:
- You spend THB 100,000 or more on eligible products and services, OR
- You purchase a motorcycle, OR
- You purchase scheduled maintenance workshop labor (eligible lines only) on at least two separate sales orders
6.2 Annual Tier Evaluation
At the start of each calendar year, all loyalty members undergo a tier review to determine their status for the new year, based solely on transactions completed during the previous calendar year (January 1 – December 31).
6.2.1 Evaluation Basis
- The tier you hold for the new year is based entirely on qualifying activity in the previous year, regardless of how or when your current tier was achieved.
- Only completed, invoiced sales orders in the previous calendar year are evaluated.
- Each member is re-evaluated from zero and placed into the highest tier their activity qualifies them for, as if joining the program for the first time.
6.2.2 Examples of Downgrade Outcomes
- If a Platinum member only completed two service visits in the year, they do not qualify to retain Platinum or even Gold and will be downgraded to Silver, as this is the only level supported by their activity.
- If a Gold member did not spend THB 100,000, did not buy a motorcycle, and did not have two workshop orders, they will also return to Silver.
This approach ensures that all members are treated equally and that tiers are earned and maintained through consistent, ongoing engagement.
6.2.3 No Partial Tier Retention
- Your tier for the new year is always recalculated based on the full calendar year prior — regardless of whether you upgraded late in the year.
6.2.4 Downgrade Mechanics
- Downgrades take place in early January.
- Your new tier is effective immediately and applies to point accrual and redemption from that point forward.
- Loyalty tier history (previous tiers and upgrade dates) may still be visible in your profile for internal tracking.
6.2.5 Notification
- Members will be notified of their updated tier by email or SMS, according to their preferred contact method.
- You may contact Richco at any time to review your qualifying activity or request a summary of the transactions used in your evaluation.
6.3 Timing and Tier Start Date
- The tier start date is recorded each time you are upgraded.
- Only transactions occurring after your current tier start date are considered for future upgrades.
- Example: If you buy a motorcycle while still in Silver tier, and then upgrade to Gold, that motorcycle purchase cannot be used again to justify a further upgrade to Platinum.
- This prevents “stacking” of past purchases across tiers and ensures all promotions are based on current behavior.
6.4 Motorcycle Purchases and Loyalty Calculations
- Motorcycle purchases are considered for upgrade evaluation only.
- If a sales order contains a motorcycle, all other items on that order are excluded from:
- Loyalty point accrual
- Loyalty spend calculations
- Workshop labor count for upgrade evaluation
This ensures the motorcycle itself does not “boost” other unrelated items in the same order.
6.5 Additional Rules and Exceptions
- If a product is sold at a discounted price or as part of another promotional scheme:
- It is excluded from loyalty point accrual,
- But it still contributes to total spend used for tier upgrade evaluations.
- Richco reserves the right to manually review or override upgrade decisions in exceptional cases (e.g., system errors or special customer arrangements).
- Transactions must be properly invoiced and confirmed to be eligible.
- Returns or refunds will reverse previously awarded points or downgrade credit, if applicable.
7. General Terms
- Points are non-transferable, non-refundable, and cannot be exchanged for cash.
- Points may be adjusted in the event of product returns, refunds, or errors.
- Richco reserves the right to:
- Modify or discontinue the Program at any time
- Refuse participation or redemption if fraud or abuse is suspected
- Expire unused points with advance notice
